Ratifying the consitition of Unit.
Having an Annual General Meeting is a thing/ a process that needs to be learned and done. Everything needs to be okayed and finalized through an AGM. Then typed out and copies sent out. This helps everyone formally know what you are doing / have done.
At the AGM motions that have been moved through out the year are rattified and become a formal part of the opporating management system of the Gipps Guides.
So when is your AGM Ladies?

Annual General Meetings (AGM's)
Each year the Adult sections of Girl Guides have an Annual General Meeting.
Having a known theme and format makes the day pass more successfully.
A Guest speaker may be invited to speak on the topic that is decided upon. Usually the topic has something to do with which all members may have participated in, or are going to benefit by knowing.
The President gives a speech about the event and happens of the previous year. Included is a treasurers report. The financial books are there for viewing. Statements and balance sheets included.
Then the Invited Guest (not Guest Speaker) is welcomed and formally introduced by the President. The President then declares all positions empty.
This Invited Guest is now the 'Chair' and the meeting goes through them. The rules and Guide Lines re nomination and voting are explained to all present. All nominated people are invited to give a speak on why they would be a good influence and how they will fulfill the position should they be elected.
Voting usually is as a secret ballet. Adjudicated and checked by a second person not involved in the preceedings until now. The results are read out by the Chair.
Once all the voting has been completed the Chair then hands the incoming president the Presidency. Welcomes them and then becomes a Guest.

Craft days
What about having a craft day during the month. Say a Tuesday morning at the office where we can start a craft day for any one interested in having piece and quiet!!! to make stuff.
I found out how we can make beads with polimer clay stuff.
Then if the people think this is an acceptable idea we can might sell there stuff on the market stall once a month. This idea was put forth by one of the members.

Looking on the Gipps Guides Site and found this advert.
Great idea... do we go with this? What if when we do our Fun walk to the Pondage on 20th June 2010 we fundraise with this idea?

Is there room for a Vise President in Gipps Guides?
Rebecca sees the need for a Vise President. The Vise President position is a maybe. Depending on your understanding of what one is and the Job descriptions given to the position.
I suggested that an agenda be opened for the AGM to vote on. But in the mean time to a) put the thought forward b) have general discussion at meeting, c) vote on including it in the AGM for rattification, d) if it okayed a general meeting then have a trial period with a Vise President. e) What is the Vise Presidents role to be? ? same as a Patrol Seconder? (In the mean time I'll hunt out the old Ranger / Ranger Guide/ Guide Handbooks for a basic description. Does the Region have a description of the possition of vise president?? that they could review? Does State or National?? To keep the position "Guides Like" where would I look other wise?... now I am curious.

more Jewelery making days
Kira would like more days Jewelery making. What about asking other Gipps Guides and others who are able to attend if they can make it on a week day? Say a time / day that the Glendonald Child and Maternal Health Center has not got kids using it? Make this once a month at first. Then see if it can be developed from here!
This is what developing ones interests is all about...experiancing and experimentation. Along the way the net work of people interested in one thing will grow, membership of Gipps Guides and other guiding things will expand.
When any of this occurs you have the beginning of empowerment happening. Go for it.

2010 Calendar to be supplied to others
Kira also suggested why not invite others in the Region to come to these meetings. At least supply them with the calendar. If it is forwarded to you will you let them know your opinion on what they want to do. My reply to this was I think that as a Cluster rep Danielle should get a copy, along with the Quarterly Cluster census's.
The Region Leader used to have supplied to her from the District Leaders a monthly paper re activities, service, events that the District and Units were participating in. i have asked Jane (the Region Leader) if she still uses this information sheet.

More international things
Samar wants more international participation things. I know she was looking at doing something for Thinking Day. Since I have a day off (I HOPE as it is about then we have the long haul Melbourne trips!! for overseas students) I should be able to get her at least to Burnett Park.
Melbourne quearies for membership.
Samar knows of other people who are from Melbourne. They too want to join into the Olave Program. The basic procedure is to get in touch with touch with the Melbourne office via a Cluster representive and go through there channels. However yes invite people who are interested in what you are doing up to the meetings, activites, events and services that are happening.
Word of Mouth is terrific advertising. Interested people share ideas and better yet you experience and join in with a wider range of activities, services and event. You then have more opportunities to net work your self, skills, and knowledge.

Heart Week and JRFHeart
When organising activities and events it is good to sometimes have the events, activites and services aligned with other organisisations and their service to community sections.
So I asked Mary-Lou from Jump Rope for Heart the following Question:
........ When is national heart week? This may have some bearing on time /date factor

Power of One
Ever wonder how Our World Association of Girl Guides and Girl Scouts use both advocacy and governace over so many issues. Well keep checking out different posts over these pages and you may be surprised. Add some when you find them too. make comments on what and where you see around you too.
Earth Hour update
With Earth Hour 2010 happening in March which is coming very soon folks there are some things that you may want to be involved in.
Making lanterns, then sending them to Copenhagen for a big confrence was one thing that we missed out on this year. However there are some booklets that you may be intersted in. The first for primary school the second for secondary school pupils. Never mind you can still vote for earth.
WAGGGS has such a queitly powerful voice.

To Market ...to market
Idea from Rebecca was discusssed. After all present had input the following was decided:
- To attend the Morwell Markets once a month ....on the Second Saturday of the month.
- To share a stand with a family member already attending these markets.
- To spend the time between now and January 2010 making/cleaning and packaging all products sold for and on behalf of the Gipp's Guides.
- face painting was brought up.
- Decission was to have more practice at designs and the spreading of the paint and marketing commitments before taking this on properly.
- To make as business cards / tags to be included onto/inside the items sold.
- To represent the Gipp's Guides and wear Uniform.
- Previously decided that moneys raises from any fundraising will pay for new Uniforms and Gipp's Guide registrations [less the 10% profit that stays within the Gipp's Guide account as running expenses for the Unit]
- To take and fly the World Flag and the Gipps Guide Flag one only while there is a Gipps Guide officially on the stand.
- To use this time as good Public relations for the Gipps Guides and Guiding in General.
- Taking names of those interested and refering all the enquires to the Region Leader.
- The Girl Guide Biscuits sold from now on will be sold as Out of Date and for $2.00. Money for the Girl Guide biscuits is to go back to the District /Unit accounts it came orgininally from. This is a Service to Guiding. In this case to the Hazelwood and Churchill District.

S.A.S
Is the name Creative Illusions already 'trade marked/copy writed'? Perhaps another name for the sign would be better. Names were bained around. What came out was SAS. I think it stands for ?Share a Smile?
Okay it's now corrected to Share a Smile.

Churchill Festival meeting Nov 24th 2009.
Hi
The Churchill and District News Festival committee is holding a public meeting on November 24, at 5.30 at the Churchill Hub, in Phillip Parade.
At this meeting if you have any questions we hope to be able to answer them.
We, will by 28 February 2010 require a copy of your “Certificate of Currency” for all organisations with their own insurance. This is due to strict conditions which are set out from our insurance company and Latrobe City Council as part of their grant conditions.
All those who are not with an organisation which has its own insurance will be required to be registered with us to qualify for insurance cover especially acquired for the day.
With thanks
Tracey Burr

Australia Day Jan 26th
Australia Day celebrated as a State Event in Melbourne. This event has the Guides carrying a large Australian Flag. For this, the day is primarily aimed at the BP's, Queens Guide's and OBPs presented the previous year. When in Melbourne for the Australia Day event make sure that you have eaten well before the ceremonies begin. After which there is a Parade down Elizabeth Street.
As a Hazelwood and Churchill combined event the places have altered when necessary. They have been behind the Hazelwood and Churchill shopping Center, Churchill Saloon, at Gaskin Park and at the Churchill Public Hall entrance. This event is open to all aged Guiding personal and members. On Australia Day the Gipps Guides or Leaders have been asked to face paint as an activity while people eat and catch up with friends. Other times there have been odd jobs like the handing out of flags, song sheets, readings, hoisting the flag / colour party [with Scouts].
Sometimes we go into Morwell's Kurnot Hall for the Australia Day Ceremonies and Presentations/ Citizen of the Year Awards.
Full Uniform is worn. Take drink bottles full of water and sun hats.
Churchill Lions make sure there is a full breakfast available.

Fun Walk
Rather than having a 'fun run' there was more interest in a 'fun walk to the Hazelwood Pondage'. Complete with BBQ. Involve the kids and family members.

Deb Ball suggested
If this is held will need a lot more input and money than we currently have. So was deferred to 2011, possibly 2012 during spring [September]. Gives us time to build up the membership some.

Qualification training
Recognised that we want a chance to be qualified. So we are looking towards State and Region training calenders. If clashed with normal meeting time apologies will be accepted. Normal meeting time should carry on anyway although may have something tom do with what is being learned at training??? to be decided.

What to do at the Churchill Festival March 20th 2010.
Kira suggested that we make and sell jewellery. This has been widened to make/sell 'Creative Inspirations'. [ SAS Share a Smile]. Some of Program to have creative inspiration included. Like next time they meet.
Shelter: Kitchen Fly or tent? Is it necessary to have a playpen and room for the little ones...yes then they use a tent. Into program goes tent erection.

I found out that
When I went into the Clean Up Australia site or the Girl Guide site (? which one) I found out that a CEO of Clean Up Australia was a Girl Guide who had achieved one of the Peak Achievement awards. Great one hay.
Clean Up Australia
One of the first Girl Guide activities that Jess came to was Clean Up Australia. Some of the Hazelwood and Churchill Girl Guides were in Glendonald Park and Jess was curious as to what was happening. Jess joined in. Here she is today offering to organise the Clean Up Australia day in March 2010.

Action: Jess will contact the following: Clean Up Australia and Latrobe City Council to register interest. The Churchill Lions and Latrobe City Council to find out their roll in Clean Up Australia Day.

Fundraising and Bunnings
Jane, Region Leader, was kept informed with a list of what topics were up for discussion. Jane suggested that the Gipps Guides contact Barbara from the Burnett Park Committee as they already have access to Bunnings BBQ's spots. They also have food handlers available all day when need on the day. Therefore by working together the Gipps Guides halve the load. Also by working together a 'United' front is achieved, you get to know whose who, they get to know you, and work on barriers is achieved. Another side effect is a wider window of opportunity for links from the youth sector into the Gipp's Guide Unit.
Not sure what happens to the money raised but to be discussed between Barbara and Rebecca.

Fundraising towards...
A discussion of fundraising and the new uniform availablity and costings lead towards the decission that the fundraising money of the Gipps Guides should go towards the new uniform costs. [less the 10% of the profit that is to stay in the Gipps Account for management reasons]
Since the new uniform comes in Feb 7th 2010 thinking caps are on for what to fundraise with.

That there be a petty cash book in operation.
That the monies for petty cash come from fundraising.
That 10% of all monies fundraised or donated be with held for funding the unit.

Everyones a Star Playgroup :
Kira has begun to look into holding a play group.
1) There are two other play groups within a 10 radius. Terrific if there is little useful transportation. One requires a car both ways, the other a car one way. The Bus timetables do not meet either the start or the finishing times.
2)Calling the playgroup 'Everyone's a star'...Theme : Stars!
3) To be registered as a Victorian Playgroup.
4) To be held in the Old Glendonald Maternal and Child Health building.
5) Cost to be found out yet.
6) Involves on line discussion and keeping in contact.

Promise Ceremony
General discussion had on what is a "superior being"/ imposing ones views on another re their 'Superior Being' rather than giving and receiving of examples of same. Jess and Kira have decided not to reaffirm/ make their promise next time the Gipp's Guides meet.
It was decided that rather than just make the Promise each would wait until they have a clearer idea of who/ what their 'Superior Being' is exactly. This is good as when their individual Promise is made they will make it then with a clarity of heart and mind.
By waiting there will be time to really arrange a really memorable Promise ceremony for these members.

International confrence quick report.
Meeting 25th October 2009
Start time 1:30 pm
Things discussed
There was a discussion about JOTA/JOTI weekend forum that was held on 17th and 18th of October with the guides around the world. It is a great opportunity to make new friends for all girl guides around the globe.
The job for post box secretary was discussed; there were suggestions to give it a different name so that girls would be more interested in making pen pals that way.
Things were discussed about the welcome packs for different countries as members of Girl Guides Association regarding the Thinking Day and what needs to be included from the Australian section.
I was told about the Sangam program in India
for supporting girls in different areas and I told that I would like to join in as a volunteer for sometime next year. The Sangam worldwide day next year is 18th October 2010.
There was a general discussion about religion, culture and importance of henna in Muslim culture and why it is used as a body art for celebrations.
I enjoyed myself there, met good people, learnt things and would like to attend more meetings next year on behalf of Baw Baw Region.
May I be appointed as an international representative being a Girl Guide and gain more knowledge towards my OBP.

Car Show service to the community.
The car show was good. There were cars, motorbikes, static engine displays, radio controlled crs, more cars, food and lots of people. The weather was even good for a change. The kitchen fly was placed so that the reflection from the Hazelwood Pondage did not damage anyones eyes. Just as well as the day was clear and the light intense.
There were faces to paint...Oh that's why we were there! The District Leader painted faces and we did to. We all improved as the day got older. Butterflies and hearts anyone?
Actually we have booked in again for next year (the Hazelwood and Churchill District team has) and they have been tentativly booked also for the 20th of Feb 2010 another car show in Bairnsdale. More faces to paint. Were coming too.

Steps for your Olave Baden Powell Award journey
• The following steps are to make things easier for the Gipps Guide members who wish to begin the Olave Baden-Powell Award.
• Are you a registered Gipps Guide member?
• Do you realise that being a Gipps Guide member you are part of the Olave Program of Guiding? Known as Senior Guides. (Youth Members being the Junior Guides)
• Have you read the Olave Broacher?
• Spoken to the others in the Olave Program?
o Gone on line to Yahoo or Face book and spoken to others in the Olave Program?
• Spoken to others in the Gipps Guides about what your interests are? What you would like to pursue? How this would be a challenge to you? This is your journey, supported by friend, strangers you have not yet met, and a community of people that is as wide as the world is large.
• About here have you made or reaffirmed your Girl Guide Promise?
• Worked out a time line for completing each step along the way. You have six years from beginning to final completion –unless of course you turn 30 before hand.
• Been peer assessed as to their acceptance of your challenges you want to undertake.
• Registered your interest in the Olave Baden-Powell Award? Sent this registration of intent, the time line down to Melbourne Guide Centre?
• During your journey along through the Award keep your peers informed of your progress. There are so many ways of doing this challenging your self to think and do various presentations.
• Include others. Be part of a team.
• Has your Olave Award Journey been enjoyable, funny, satisfying, frustrating, life changing, (whose and in what way?). Have you personally grown through even attempting the award?
• Remember that when you think it is ‘just too hard’ there have been others who have trod the road you are journeying along. Some have, some haven’t. But no matter what there has been change.
• Once your peer assessment has accepted that you have met your objectives send the completion papers down to Melbourne Guide Centre.

Sumars promise
Last meeting Samar made her Promise. And then the thunder rumbled all around in one big clap as we all reaffirmed our Promise along with Samar as she made hers. Amazingly this thunder overpowered all voices as we identified and voiced our own Superior Being. 'He' had the last say.
An overview of the Olave Program , the Olave Registation and the syllabus for the Olave-Baden Powell Award was handed out.
There's going to be a lot happening over the next few years once the Gipps Guides gets under way.

X Box challenge (service to community).
Thursday saw two Gipps Guides helping out at the X-box challenge. The day was planned as part of the Independant Compass Award participants skills challenge section. So Rebecca ran the kitchen. (Very successfully too I might add!) Cordinated activities and behaviours when things did not go as planned for the participants. Jess was able to take up the slack and assisted in keeping the younger visitors happy and when necessary distrated.
Over all at lot was learned through the day.Things like it takes more than just rocking up and expecting the day to be all set and ready to go. Now for Grades five and six (10 to 12 year olds) this is a major organisational shock. Suddenly they are doing it themselves. Oh boy.
Then theres the knowing of what needs to be done before time, and the communication with parents, the community, your friends and general public. What about the deligation of jobs?? So the Gipps Guides saw a need, stepped in while these skills were being initiated, pulled on partners support, and yes, they will be there on January 14th 2010 when the next challenge is open to the public.
